"That email address is already in use" when adding someone

When you add someone in People & Access and click Create person, you might see That email address is already in use. It means NomNom already has a sign-in with that address. Each email address can belong to only one sign-in across the whole of NomNom, not just your venue, and capital letters don’t make it a different address. Nothing has been saved, and the form stays filled in so you can put it right.

Why it happens, and what to do

They’re already on your team

Look through the list in People & Access: each person’s username and email show under their name, and once you have six or more people there’s a search box that finds them by email too. Check the bottom of the list as well. People who’ve been switched off are listed last, marked Inactive, and they keep their email address.

What to do: don’t add them again. Click them and turn Active back on. They keep their old username and role.

They’re set up at another of your venues

If several of your venues share one NomNom account, the person may already be on your team for a different venue.

What to do: click them, tick the venue under Venues and click Save changes. The same sign-in then works at both.

It’s a shared address

Addresses such as info@ or bookings@ are often in use already — very often as the sign-in of whoever set up your NomNom account.

What to do: give each person their own address, or leave the email blank (see below).

They have a NomNom sign-in somewhere else

The address may belong to a sign-in at another restaurant — somewhere they used to work, or one of your own venues that has a separate NomNom account.

What to do: use a different address, or leave it blank. If it’s one person running several of your venues on separate accounts, NomNom support can link them (see the last section).

Adding someone without an email address

The Email (optional) box really is optional. Without an address, the person signs in with their Username on your team’s sign-in link. If they forget their password, you give them a new one with Reset password on their page in People & Access. If they ask for a one-time sign-in code, it goes to your account owner’s email instead of theirs.

One person, several venues on separate accounts

If a manager works at venues that each have their own NomNom account, NomNom support can give them the same email address at each one and link them. Signed in to NomNom Web, they can then switch between those venues without signing in again.

Two things to know before you ask. The link works in NomNom Web only; phones and tablets carry on as before. And once they’re linked, nobody can reset that person’s password from People & Access or the admin portal. Only NomNom support can, or the person themselves with Forgotten your password? if they’re an Admin.

Good to know

  • A similar message for usernames. A user with that username already exists in your company. means someone on your team already has that username. A username only has to be different within your own account, so pick another.
  • A typing mistake? That email address doesn’t look valid. means the address isn’t in the usual format — a missing @, for example.
  • Moving an address from an old entry. To give a switched-off person’s address to someone new, first clear it from the old entry on the Users page of the admin portal. See Changing the email address someone signs in with.
