Requiring a PIN before staff save a booking

If several people share a till or a tablet, everything they do arrives under whoever happens to be signed in. Requiring a PIN changes that: before a booking is saved, the person making the change enters their own four-digit PIN, and the booking is credited to them. It takes a couple of seconds and it means your booking history reflects who actually did the work.

Give your team their PINs first

Do this before you switch the setting on. A PIN is the only way to save a booking once the rule is in force, so anyone without one can't save anything — give your team their PINs first and the change is invisible to them.

Open the account menu in the top-right corner and choose People & Access. Select the person you want, and in their Account section choose Set booking PIN.

Choose any four digits and save. It's worth letting each person pick their own — a PIN someone chose is one they'll remember — and worth saying out loud that they shouldn't share it, since it's what puts their name on a booking.

Once someone has a PIN, that row reads Reset booking PIN instead. If they forget theirs, use it to set new digits — their old PIN stops working immediately. You never need to know someone's existing PIN to give them a new one, and nobody, including you, can look up what a PIN currently is.

Turn it on

Open the account menu in the top-right corner, choose Settings, and select Reservation Editing. In the PIN section, turn on Require PIN to save a booking.

The text under the switch always tells you what is in force right now, so you can check the setting at a glance without changing anything.

The setting is off unless you turn it on, so nothing changes for your team until you decide to use it.

What your team sees

With the setting on, a staff member is asked for their PIN before a booking is saved. They type their four digits and choose Continue.

Choosing Cancel simply stops there — the booking isn't saved and nothing is changed. Nobody is locked out of looking at bookings: the PIN is asked for when something is about to be saved, not when your team is reading the day's list.

If a PIN isn't recognised

An unrecognised PIN is refused and the prompt clears itself so the person can try again.

The message is deliberately the same whatever went wrong — a mistyped PIN and too many attempts in quick succession look identical. That's on purpose: it means nobody can sit and guess their way to someone else's PIN by watching how the message changes.

Where the PIN is asked for

The prompt appears anywhere a booking is created or changed, not just on the main booking form:

  • Creating a new booking, and opening an existing one to edit it.
  • Changing a booking's status from the status pill.
  • Moving a booking to another table, or taking its table away.
  • Dragging a booking to a different table on the chart.

The idea is that there's no quiet side door — if a change ends up saved against a booking, somebody's PIN was entered for it.

Who the booking is credited to

While this setting is on, the PIN is the only thing that decides the Taken by credit on a booking. The Taken by picker isn't used, and it can't be overridden — the person who entered the PIN is the person the booking is credited to.

If you'd rather credit bookings without asking for a PIN every time, turn this setting off and use the Taken by options in the same Reservation Editing screen instead.

Good to know

  • Online bookings are unaffected. The rule applies to your team saving bookings — guests booking through your booking page, and guests changing their own booking through the link in their confirmation, carry on exactly as before.
  • Your venue's PINs are its own. A PIN only ever matches a member of your team, never someone from another venue.
  • The rule is enforced by NomNom itself, not just by the screen asking for the PIN, so it holds however a booking is saved.
  • Turning the setting off again puts everything back exactly as it was — no bookings are altered, and your team can save without a PIN straight away.
