What Admin, Standard and Read-only staff can do

Everyone who signs in to NomNom has one of three roles: Admin, Standard or Read-only. The role decides what they can change. NomNom checks it every time something is saved, so it applies in NomNom Web and the phone app alike. The three roles at a glance

  • Read-only — can look at the diary, bookings and guests, and print reports, but can’t change anything.
  • Standard — runs the diary day to day: bookings, walk-ins, guests and taking payments.
  • Admin — everything, including settings, configuration, billing and your team.

New people start as Standard unless you pick another role.

Change someone’s role

1. Open People & Access. In NomNom Web, open the account menu at the top right and choose People & Access.

2. Click the person. Their details open.

3. Pick a role. Under Role, click Read-only, Standard or Admin. It saves straight away.

In NomNom Web: account menu → People & Access → click a person → Role. In the phone app: Settings → People & Access → tap a person → Role.

You can also change it in the admin portal: open Users and use the Role drop-down next to the person.

Who can do what

Bookings and guests

  • Admin and Standard: make, edit, move and cancel bookings; add walk-ins; change a booking’s status, including marking a no-show; move bookings between tables and use Optimise tables; send confirmations and texts; update a guest’s details; and add a new name to the Taken by list with Add name.
  • Read-only: can see the diary, bookings and guests, and search, but can’t change any of them.

Payments and refunds

  • Admin and Standard: take money on a booking’s Card & Payments: Charge, Record, Request card and Payment link.
  • Admin only: refunds — refunding a card payment, and recording a refund of a cash or card-machine payment.
  • Read-only: can see a booking’s payments, but can’t take or refund any.

Gift vouchers

  • Admin and Standard: Redeem a voucher, and Sell one in person.
  • Admin only: the Sales tab, Void voucher, and your voucher settings.
  • Read-only: can’t redeem or sell.

Reports

  • Everyone: the Bookings, Chart and Guest Summary reports, and Insights.
  • Admin only: the Payments report.

Admin only

  • Settings and Configuration (areas, meals, times and tables).
  • Adding or changing Schedule changes and Popup notes. Everyone can read them.
  • People & Access: adding people, roles, venues, booking PINs, and renaming or hiding Taken by names.
  • Account & Billing: your subscription, the card you pay with and your invoices.
  • Buying SMS credits with Top up. Everyone can see how many credits are left.
  • A booking’s Audit trail, showing who changed what.
  • Signing in to the admin portal.

Things you might notice

A few buttons still show for people whose role can’t use them. Nothing gets through — NomNom refuses anything their role doesn’t allow — but it can be confusing:

  • Read-only staff may still see buttons such as New reservation and Walk-in, but nothing they try to save is saved.

Good to know

  • The account owner is always an Admin. People & Access won’t let you change the owner’s role or deactivate them.
  • One role everywhere. A person’s role applies at every venue they can use. You choose the venues separately, on the same screen.
  • Names for Taken by have no role. They never sign in, so there’s nothing for them to be allowed to do.
  • Automatic refunds still happen. If your cancellation policy refunds deposits automatically, that happens whoever cancels the booking. The Admin-only rule is about refunds made by hand.
  • Roles and PINs do different jobs. A role decides what someone can do; a booking PIN proves who saved a booking. See Requiring a PIN before staff save a booking.
  • When a change takes effect. What someone can save changes straight away. The menus they see catch up the next time they open NomNom, or refresh the page in NomNom Web.
