Booking a guest into an event from the diary

When a guest rings to book for one of your events — a tasting night, a quiz, a Christmas party night — you book them in like any other booking. The one difference is the meal: on the event’s date, the event is listed alongside your usual meals, and choosing it is what books the guest into the event.

In NomNom Web: New reservation → Meal → your event. In the phone app: + → New Reservation → Availability → your event.

Book into an event in NomNom Web

1. Go to the event’s date. Click the date in the calendar in the left-hand bar. The event appears in the Meals list above it. Click it to see just the event’s bookings.

2. Open a new booking. Click New reservation, or press N. With the event picked in Meals, the form opens on that date with the event already chosen under Meal. Otherwise, set the Date and click the event under Meal.

3. Set the party and the sitting. Set Adults and Children, then pick the Time from the event’s sitting times. If the event runs in more than one area, pick the Room as well.

4. Choose a table. The event’s free tables show a party-popper icon. Click one, or several for a big group. The line under the tables now reads Booked against event: followed by the event’s name, and Turn length disappears because the event’s own Duration sets it.

5. Add the guest and save. Fill in their details and click Save reservation, as in Taking a booking over the phone.

You can also book from the chart. With the event picked in Meals, click the empty space beside a table at the sitting time, and the form opens with the event, time and table already chosen.

Book into an event in the phone app

1. Start a booking. Tap the + button, then New Reservation. Set the guests and tap Next.

2. Pick the event. On Availability, choose the event’s date, then the event from the meals, then a time. A BOOKING FOR EVENT banner shows the event’s name, and there’s no DURATION to set.

3. Choose a table and finish. Tap a table under AVAILABLE TABLES. The bottom of the screen shows the event and the table. Tap Next, fill in the guest’s details and tap Save Reservation.

Good to know

  • Can’t see the event? An event only shows on its own date, and only in the areas it runs in, so check the date and the area first.
  • The event’s limits don’t stop you. Max guests per area and any sitting limits only apply to online bookings, so you can book past them. Click the event in Meals to see who’s already booked before you do.
  • Staff-only events work too. An event with Online booking switched off is hidden from your booking page, but you can still book guests into it here.
  • Deposits. A card or deposit set on the event is asked for on your booking page only, not on bookings you take yourself. To take payment for one of those, see Sending a guest a payment link.
  • Setting up the event itself, with its sitting times and limits, is covered in Setting up events and sharing their booking link.
