Setting up events and sharing their booking link

Events are for one-off occasions — a tasting night, a quiz, a Christmas party night. Each has its own date, sitting times, guest limit and, if you like, a deposit, plus its own booking page you can share. Your regular meals aren’t touched.

How to set up an event

1. Open Events. In NomNom Web, click Configuration at the bottom of the left-hand panel (admins only), then choose Events.

2. Click Add event. Give it a Name, tick each of the Areas it runs in, and pick the Date.

3. Set the sitting times. Pick a start time under Sitting times. Running a second sitting? Click Add a sitting. To cap one sitting on its own, click its Event limit button and set a number.

4. Set the numbers. Duration is how long each booking lasts. Max guests per area is the most the event takes in each area, so two areas with a limit of 40 can take 80 in all.

5. Choose how online bookings are seated. Under Web booking capacity, Guest limit only (the default) simply counts guests. Assign a table gives each online booking a free table — only pick it if the area has tables bookable online, or no times will show.

6. Finish off and save. Leave Online booking on, or switch it off for a staff-only event. Add a Public notice if you like, such as the price. For a card or deposit, set Require a card from or Require a deposit from, then Per person or Flat fee and the amount. Click Create event.

Sharing the event’s link

Click the event in the list and choose Copy public link, then paste it into a post, an email or a QR code. The link opens a page with your venue’s name, the event, your public notice and a card for each upcoming date. Guests tap Book now, say how many are coming and pick a time — no calendar to wade through. A full date shows Fully booked.

The same event on several dates

Click the event and choose Duplicate Event. Change the date and take (copy) off the name. Events can share a name on different dates, and every date then appears on the same link.

Same-named events share one set of sitting times, public notice and card and deposit rules — change them on one date and they change on all. If one date needs different times, give it its own name and use an event group.

Different events on one page

For differently named events — October Tasting Table, November Tasting Table — type the same name, say Tasting Table, in each one’s Event group box. After the first, tap the suggestion under the box rather than retyping: a small spelling difference starts a separate group. The group shares one page under the group’s name, and the menu offers Copy group public link.

Good to know

  • The guest limits only apply to online bookings — bookings your team takes aren’t blocked by them. Cards and deposits are only asked for once card payments are set up for your venue.
  • If you take dog bookings, you’ll see a Bringing a dog? question switch. Turn it off for a formal evening and guests booking through the event’s link won’t be asked.
  • Putting an event in a group moves it to the group’s link, so re-share the new one.
  • Two events on the same date need different names — adding the time works well.
  • Past events are hidden; click Show past to see them. Add a new date with the same name and the old link shows it.
  • Deleting an event keeps its bookings.
  • Events are in the phone app too: Configuration → Events.
