Taking a booking over the phone

When a guest rings to book, you can take it in NomNom Web or in the phone app. Here’s the whole call, from finding a regular to reading back their booking reference.

Take a booking in NomNom Web

1. Open a new booking. Click New reservation at the top of the left-hand bar, or press N. The form opens on the day you’re looking at. If your venue asks for a PIN, you’ll enter it first (see Requiring a PIN before staff save a booking).

2. Find a returning guest. Type into Find a returning guest by name, phone or email, or just start typing their name. Each match shows their phone and email, how many times they’ve booked before, and a star if they’re a VIP. Click one to fill in their name, phone and email. For someone new, type their details in — with an email address, they’ll get your confirmation email (see Booking confirmations and reminders).

3. Set the party size. Use Adults and Children. High chairs appears too if you’ve set them up.

4. Choose when. Set the Date and Time, then the Room (if you have more than one) and Meal. If a time has a guest limit, the time list shows how full it is. Leave Turn length on Auto to use your usual turn lengths, or pick a length for this booking only (see Setting how long a table is held (turn lengths)).

5. Choose a table. Under Tables you’ll see every table free for that time, party size and turn length. Click one, or several for a big group. Or pick nothing: you’ll see No table selected — this booking will be unallocated. and can seat them later.

6. Check Status and Taken by. Status starts on your venue’s default for new bookings, and Taken by is usually filled in with whoever’s signed in (see Recording who took a booking: Taken by).

7. Add notes and allergies. Guests can see Notes (it can appear on their confirmation email), so use it for the occasion or a seating request. Anything just for your team goes in Internal notes (staff only), which the guest never sees. Click Add allergies to record allergies, and set Dogs if you take dog bookings.

8. Save. Click Save reservation. The Reservation confirmed window shows the details and the booking reference. Click the reference to copy it (you’ll see Copied to clipboard), ready to read back or paste into a message, then click Done.

In NomNom Web: left-hand bar → New reservation (or press N). In the phone app: the + button → New Reservation.

In the phone app

Tap the + button at the bottom right, then New Reservation. Set the guests and tap Next. On Availability, choose the date, room, meal and time, then tap a table under AVAILABLE TABLES, or none to leave it unallocated. DURATION starts on Default, the phone app’s name for Auto. Tap Next, then tap Name and use Search existing customers to find a regular. Fill in the rest and tap Save Reservation. The Reservation Saved window shows the Booking Reference; tap Copy Ref to copy it.

Making a table or mobile number compulsory

If every booking should have a table, or a number you can ring, an admin can switch on Table allocation required or Mobile number required. A new booking then can’t be saved without one — you’ll see Please allocate a table. or Please enter a mobile number. Bookings you’ve already taken aren’t affected, and walk-ins never need a number.

Good to know

  • A different-looking form? NomNom Web has a new design of this form. Click New design at the top of the form to try it: the same fields, laid out differently. It’s a choice for that browser only, and clicking the same button switches you back.
  • Checking a whole service. Click Availability in the left-hand bar to see every time on a day and how full it is. Click Reserve next to a time and the form opens with the date, time and party size already set.
  • Venue limits. In NomNom Web, if the booking would take you over a limit you’ve set (see Capping guests at one time across your whole venue), you’ll be warned first and can still choose Book anyway.
