Understanding your voucher sales report

The Sales tab lists the gift vouchers you’ve sold, online and in person, with totals across the top: what you’ve sold, what’s been spent, and what guests can still spend with you. The totals, and each voucher’s history, are for admins.

Choosing the dates

Sales opens on the whole of this year. Click the dates at the top to pick others. Everything on the tab, list and totals alike, goes by the date each voucher was bought, not when it was spent. So Redeemed for last year is how much of last year’s vouchers has been spent so far, even if some was spent this year.

The totals

  • Sold — the full value of the vouchers bought in those dates, with how many underneath. It includes vouchers since used up, expired or refunded. Cancelled ones aren’t included, apart from anything already spent on a voided voucher.
  • Redeemed — how much of those vouchers has been spent. The number underneath counts vouchers used at least once, so one spent over three visits counts once.
  • Outstanding — what’s left on Active and Partial vouchers: money guests can still spend with you.
  • Breakage — value left unspent on Expired vouchers (see below).
  • Refunds — money given back to buyers of online vouchers.
  • Platform fees — NomNom’s fee on vouchers bought online. Vouchers you sell in person have no fee.

What each status means

Click a status above the list to see only those vouchers.

  • Active — paid for, nothing spent yet.
  • Partial — some spent, the rest still to use.
  • Fully redeemed — all spent, or closed off because what was left fell below your Auto-close threshold.
  • Refunded — the buyer got all their money back before any of it was spent, so it can’t be used.
  • Cancelled — voided by an admin, or bought online but the payment failed or was never finished. Nothing left on them counts in Outstanding. A voided voucher keeps what was spent on it before the void in Sold and Redeemed; other cancelled vouchers aren’t counted in any total.
  • Pending payment — someone started buying online but hasn’t paid. These are left out of All; click Pending to see them. Nothing has been taken, and an unpaid one is cancelled automatically after 7 days. An odd name or a web address here is usually a bot filling in your voucher form.
  • Expired — past its Expires date with money still left on it. It can’t be spent, and what was left counts as Breakage, not Outstanding.

Looking at one voucher

Click a voucher to see its Original value, what’s Remaining, its Status, who it’s for, the buyer’s email, and when it was bought and expires. One sold in person also shows Paid by. Underneath, the Audit log lists each time it was spent, and any refund or void.

Good to know

  • Search goes wider than it says. The search box finds the buyer’s name or email, and also the name or email of the person the voucher is for.
  • Long lists load in pages. You’ll see 25 vouchers at first; click Load more at the bottom for the next 25.
  • A voided voucher keeps what was already spent on it in Sold and Redeemed; the balance you cancelled leaves the totals. See Refunding, cancelling or voiding a gift voucher.
  • Who sees what. The totals and each voucher’s Audit log only show for admins (see What Admin, Standard and Read-only staff can do).
  • No codes here. For security, voucher codes never appear in Sales.
