Recording a guest's allergies and setting your allergen list

When a guest mentions an allergy, record it in the booking’s Allergies rather than in its notes. Allergies recorded there get a red flag in your diary, come first on the printed service sheet and are listed on the guest’s confirmation email, so they can check you’ve got it right. Your team picks them from an allergen list you control.

Set up your allergen list

1. Open Allergens. In NomNom Web, open Settings and choose Allergens. You’ll need to be an admin.

2. Check what’s there. Unless someone has changed it, the list starts with these 14: Celery, Gluten, Shellfish, Eggs, Fish, Lupin, Dairy/Milk, Molluscs, Mustard, Tree nuts, Peanuts, Sesame, Soya and Sulphites.

3. Add your own. Click Add at the top right, type the name and click Add. It saves straight away, and your team can pick it at once.

4. Change or remove one. Click it and choose Edit or Delete.

Record allergies on a booking

1. Open the booking form. Start a new booking, or select one and click Edit reservation.

2. Click Add allergies. It’s under Allergies, in the Notes & allergies section.

3. Tick each allergy. For one that isn’t on your list, type it in the Add another allergy box and click Add: it’s ticked under ADDED, for this booking only. Then click Done.

4. Save the booking. Each allergy shows as a red tag on the form; click its cross to remove it. Then click Save reservation.

In the phone app, open the booking (or reach the guest’s details on a new one), tap Allergens, tick each one, tap Save, then Save Reservation. The phone app only offers your list, plus any allergies already on the booking.

Where allergies show

  • Your diary. In NomNom Web’s list the booking gets a red Allergy tag, and on the chart a red warning sign. The panel beside your bookings and Full details show them in a red box. In the phone app there’s a red warning sign on the booking, and a red ALLERGENS strip across the top when you open it.
  • The service sheet. Each booking’s details start with its allergies — see Printing tonight’s service sheet.
  • The confirmation email. It lists them under Allergies, even with Show special requests switched off. Adding allergies to a booking later doesn’t email the guest.

Allergies from online bookings

Guests booking online can click + Add allergens under the special requests box and pick from your list. Their choices land in the booking’s Allergies, just like yours. Whether guests see the button is up to Allergen selection, under Settings → Online Booking & Discover in BOOKING OPTIONS. It shows even when Allow notes is off, so guests can always tell you about an allergy.

Guests can only pick from your list. Anything else they type into the requests box goes into the booking’s Notes, with no red flag, so read the notes on online bookings and add any allergy they mention.

Good to know

  • Allergies belong to the booking, not the guest. Picking a returning guest doesn’t fill in their allergies from last time, so ask every time. Book another date does copy them (see Booking a guest in for several days in a row).
  • Changing your list doesn’t change bookings. Renaming or deleting an allergen leaves bookings that already have it as they are.
  • An allergy that isn’t on your list? Add it in NomNom Web. The phone app can’t add one, but its Allergens list shows any already on the booking, ticked, and keeps them when you save unless you untick them.
  • From Full details. On a booking’s Notes tab, click Add allergies (or Add or edit), then Save notes.
