If a guest asks you to delete their personal details, an admin can erase them. NomNom wipes their name, contact details and notes from their guest profile and from every booking of theirs at your venue. The bookings themselves stay, shown as Erased guest, so your covers, no-shows, deposits and reports still add up. Erasing can’t be undone, so read what it does before you start.
Erase a guest
1. Open one of their bookings. In NomNom Web, click any booking for the guest in your diary to open the side panel. In the phone app, open the booking and tap Name to open Customer Details.
2. Click Erase guest. In NomNom Web it’s in red under Guest notes, in the Guest profile section. In the phone app it’s under Customer notes.
3. Type ERASE and confirm. A window headed Erase and the guest’s name explains what will go. Type ERASE in Type ERASE to confirm, then click Erase guest. Changed your mind? Click Cancel.
You’ll see Guest erased. and how many bookings now show Erased guest.
In NomNom Web: click a booking → Guest profile → Erase guest. In the phone app: open a booking → Name → Erase guest.
What’s cleared
- Their guest profile: the name becomes Erased guest, and their email, mobile, guest notes and VIP star are removed.
- Every booking of theirs: the same, plus the booking’s notes, internal notes, allergies and dog details.
- Each booking’s history: the audit trail no longer shows those details either (see Seeing who changed a booking: the audit trail).
- Emails and texts: the copies in Messages lose the address, number and wording, and an email still waiting to go is deleted.
- Reviews: anything they wrote is removed. Their star rating stays.
- Their mailing-list tick from your booking page, and the details they typed into any online booking they started.
What’s kept
- The bookings: date, time, covers, area, table and status.
- Payment records: amounts, and the card type and last four digits. There’s no name on these.
- Gift vouchers: nothing on a voucher is changed.
Which bookings count as theirs
Erasing covers bookings linked to the guest’s profile, plus any other booking at your venue with the same email address or mobile number. A booking made under a different email or number is a separate guest: open it and erase from there too. A booking with only a name has no profile to erase, so change the name on it yourself. Afterwards, search for their name to check nothing is left (see Finding any booking by name, reference, phone or email).
Good to know
- Admins only. Standard and Read-only staff don’t see Erase guest (see What Admin, Standard and Read-only staff can do).
- No button? It appears once NomNom has matched the booking to a guest profile. In NomNom Web that needs a mobile number or email on the booking. In the phone app you can also find the guest with Search existing customers in Customer Details.
- A booking still to come stays in your diary as Erased guest, with no contact details or allergies. Cancel it first if they won’t be coming, or erase after their visit.
- One venue at a time. Erasing works at the venue you’re in. Do it at each of your venues they’ve booked with.
- Copies outside NomNom aren’t touched: Data Exports made before you erased them, files you’ve downloaded, your Mailchimp audience, and your Stripe account. Remove them there yourself.
- If they book again, they’re simply a new guest.
