Marking a guest as a VIP and keeping notes about them

Mark your regulars as VIPs and keep notes about them — "likes the window table", "anniversary in June" — on their guest profile. Unlike a booking’s notes, these belong to the guest, not to one visit: they follow them to every booking made with the same email address or mobile number. Guests never see them.

In NomNom Web

1. Open one of their bookings. Click any booking for the guest in your diary. The side panel opens on the right.

2. Find Guest profile. It’s just under Contact, where the guest’s Mobile and Email are shown. It only appears when the booking has a mobile number or an email address, because that’s how NomNom knows who the guest is.

3. Switch on VIP, or add a note. Turn on VIP, and type anything worth remembering into Guest notes.

4. Click Save profile. The button appears as soon as you change something. You’ll see Guest profile saved.

In NomNom Web: click a booking → side panel → Guest profile.

In the phone app

1. Open one of their bookings and tap Name. Customer Details opens.

2. Switch on VIP, or add a note. Under the Phone and Email boxes, turn on VIP and type into Customer notes.

3. Tap Save.

In the phone app: open a booking → Name → Customer Details.

Where you’ll see it

  • A gold star next to the guest’s name on every booking of theirs in your diary, past and future, in NomNom Web and the phone app.
  • In NomNom Web’s Search, and in the suggestions that come up when you type a returning guest’s name into a new booking (see Recognising returning guests as you take a booking).
  • The notes show in Guest profile (NomNom Web) or Customer Details (phone app) on any of their bookings.

Good to know

  • Any spelling of their number. 07700 900123 and +44 7700 900123 count as the same guest, so the star shows however the number was typed.
  • It works by email and mobile. A booking with only a name, or a walk-in with no contact details, can’t carry a guest profile. Take a phone number or email and the star and notes will follow.
  • Guests never see these notes. They aren’t in any email or text, or on your booking page. For something about one visit, use the booking’s own notes instead (see Booking notes and internal notes: what your guest can see).
  • Who can change it. Admin and Standard staff can set VIP and notes. Read-only staff can see them but not change them (see What Admin, Standard and Read-only staff can do).
  • Each venue has its own guest list. Marking someone a VIP at one venue doesn’t mark them at your others.
