Selling gift vouchers in person

Guests don't only buy vouchers online — plenty ask at the till on their way out. You can sell one there and then: take the payment on your own card machine or in cash as you normally would, record the sale in NomNom, and print or email the voucher straight away. There's no NomNom fee on these sales.

Sell a voucher

1. Open Vouchers. In NomNom Web, click More (the three dots in the top bar) and choose Vouchers. It opens on the Redeem tab, so click Sell. In the phone app, open the menu, tap Vouchers, then the Sell tab.

2. Enter the amount. Type it into Amount. It can be anything above zero up to £5,000 — it doesn't have to be one of the amounts on your online voucher page.

3. Choose how they paid. Under Paid by, pick Card reader, Cash or Other.

4. Add the customer's name. Customer name is the person buying the voucher, and it's the one box you have to fill in.

5. Add their email if they'd like it emailed. Type it into Customer email (optional) and Email voucher to customer switches on by itself. Switch it off if you'd rather not send it.

6. Buying it as a gift? Click Gift details (optional) to add a Recipient name and a Gift message. Both are printed on the voucher.

7. Take the payment, then click Record sale. Once you've taken the money, click Record sale. In NomNom Web the button shows the amount you've typed, so you can check it before you click.

In NomNom Web: More → Vouchers → Sell. In the phone app: menu → Vouchers → Sell.

Print it or email it

When the sale is recorded you'll see the voucher's value and its Voucher code. The voucher is live straight away, ready to spend.

In NomNom Web, click Print to print it and hand it over, or Download to save it as a PDF. In the phone app, tap Print voucher or Share. The voucher shows the amount, who it's for, any gift message, a QR code, the code, the date it's valid until and your voucher terms.

If Email voucher to customer was on, the email goes as soon as you record the sale. It comes from your venue, with a link to download the voucher, the code and the date it's valid until.

Make sure the guest has their voucher before you move on. This is the only place NomNom shows the code: it doesn't appear in your sales list afterwards. If you added the customer's email, an admin can send the voucher again later from its details in Sales. When you're finished, click Sell another (in the phone app, Done).

Keeping track of what you've sold

Admins also have a Sales tab, next to Sell, listing your vouchers — the ones sold in person and the ones bought online. It starts on this year; click the dates at the top to change them, or search by the buyer's name or email. Click a voucher to see its details: an in-person sale shows how it was paid under Paid by.

If you make a mistake

Keyed in the wrong amount, or rang the same sale through twice? An admin can void a voucher that was sold in person. Open Sales, click the voucher, click Void voucher and confirm. Whatever is left on it is cancelled, it can no longer be spent, and it shows as Cancelled. This can't be undone.

  • Voiding doesn't refund anyone. NomNom never took the money, so if the guest is owed some back, refund it on your card machine or from the till as usual.
  • To fix a wrong amount, void the voucher and sell a new one for the right amount.
  • Only in-person vouchers with money left on them can be voided. A voucher bought online can't be voided here — it's refunded through Stripe instead.

Good to know

  • No NomNom fee. The money goes through your own card machine or till and never through NomNom, so the full amount is yours, less whatever your card machine provider normally charges.
  • You don't need online vouchers switched on. You can sell in person even if Sell vouchers is off in your voucher settings, or you haven't set up Stripe.
  • Giving a voucher away? For a complimentary voucher — a raffle prize, say, or to make up for a bad evening — choose Other under Paid by. It shows as Manual in the voucher's details, and it still counts towards the Sold total in Sales.
  • Expiry and terms come from your voucher settings. An in-person voucher lasts as long as your Expires after setting and carries your voucher terms as they were on the day it was sold, just like one bought online. Admins can check them in NomNom Web under the account menu (top right) → Settings → Vouchers, or in the phone app under Settings → Vouchers.
  • No notification or receipt emails. An in-person sale doesn't send a sale notification to your Sales email address, and the customer doesn't get a separate receipt — only the voucher email, if you chose to send it.
  • Lost your connection? If recording the sale fails, click Record sale again without changing anything. NomNom won't record the same sale twice.
  • Who can do what. Anyone with a Standard or Admin login can sell a voucher; Read-only logins can't. Voiding and the Sales tab are for admins only.
  • Spending it. Vouchers sold in person are redeemed exactly like ones bought online, from the Redeem tab — see Redeeming a gift voucher and spending part of it.
