Recording who took a booking: Taken by

Every booking has a Taken by field showing which member of your team took it. If several of you share one login, you can now add each person as a simple name, so everyone is credited without needing a sign-in of their own.

How Taken by fills itself in

Open the account menu in the top-right corner, choose Settings, then Reservation Editing. The Taken by section has two switches:

  • Auto populate taken by (on to start with) — new bookings start credited to whoever is signed in, and staff can change it. Switch it off and new bookings start as Unassigned for staff to pick a name.
  • Prevent changing of taken by (off to start with) — new bookings are always credited to whoever is signed in, and nobody can change it. Editing a booking keeps the original name. You can only switch it on while Auto populate taken by is on.

Adding a name for someone without a login

1. Open the Taken by list. On a new or existing booking, click the Taken by field.

2. Choose Add name... It's at the top of the list in NomNom Web, and at the bottom in the phone app.

3. Type their name and click Add. The name joins your venue's list and is picked for this booking straight away. Save the booking as usual. If the name is already in the list, NomNom picks that one rather than adding it twice.

Managing names

Names have their own section in People & Access, called Names for Taken by. You can add names there too, with Add name. Click a name to:

  • Change name — past bookings show the new name too.
  • Switch off In the Taken by list to hide it. Bookings already credited keep the name.
  • Set booking PIN — see below.

A name can't sign in or be given a role, venues or a device. If someone needs to sign in, add them as a person instead.

If you use booking PINs

With Require PIN to save a booking switched on (also in Reservation Editing), staff enter their PIN when they start a new booking or open one to edit. The booking is credited to whoever the PIN belongs to — even when they're only changing an existing booking — and the Taken by field can't be changed by hand.

Names can have a PIN too, so on a shared login each person is still credited properly.

Good to know

  • Settings and People & Access are for admins, but anyone who takes bookings can use Add name... on a booking.
  • With Prevent changing of taken by on, the field is locked, so names can only be credited through a PIN.
  • Taken by is never compulsory — a booking can be saved as Unassigned. If every booking must be credited, use PINs.
  • A hidden name's PIN stops working. To bring someone back, switch their name back on — adding it again makes a fresh entry.
  • With more than one venue, new names go to the venue you're working in.
