Getting an email when a large party books

When a big group books, you usually want to know straight away — to ask for a deposit, take a card, or warn the kitchen. Large Party Notifications emails the people you choose whenever a booking reaches a party size you set.

How to switch it on

1. Open Settings. In NomNom Web, click Settings at the bottom of the left-hand panel, or click your name at the top right and choose Settings. In the phone app, open the menu and tap Settings.

2. Choose Large Party Notifications. It's under RESERVATIONS. In NomNom Web you can also type "large party" into Search settings.

3. Set your party size. Click Notify staff at party size, type the number of guests that counts as a large party for you — say 8 — and click Save.

4. Add the people to tell. Click Add next to NOTIFY THESE EMAIL ADDRESSES, type an email address and click Add. Repeat for anyone else who should hear about it — the manager, the head chef, the events inbox.

Each change saves as soon as you make it. To change or remove an address later, click it and choose Edit or Delete.

Which bookings send an alert

  • Your number and above. Set to 8, a party of 8 sends an alert and so does a party of 12. A party of 7 doesn't.
  • Children count too. 6 adults and 2 children is a party of 8.
  • However it's booked. Bookings your team makes in NomNom and bookings guests make online both count.
  • When a booking grows. If a table of 4 becomes 10 — because your team changed it, or the guest changed their own booking online — you'll get an alert then.
  • No repeat alerts. Editing a booking that's already at or over your number — to change the time or add a note, say — doesn't send another one, and neither does making a party smaller.
  • Never for cancelled bookings.

What the email says

Each address on your list gets its own email from NomNom, with a subject starting Large party alert. It gives the guest's name, the party size, the date and time, their email address and phone number, and the booking reference. If there are children, the party size shows adults plus children — 6 + 2, for example. Anything the guest didn't give you shows as a dash.

The alert only ever goes to the addresses on your list, never to the guest.

Good to know

  • To switch alerts off, set Notify staff at party size to 0 or leave it blank; it then shows Off. Alerts also stop if there are no email addresses on the list.
  • Changing your number doesn't send alerts for bookings already in the diary. It only affects new bookings, and bookings later changed from under your number to at or over it.
  • Each venue has its own party size and its own list of addresses.
  • Only admins can change these settings.
  • This isn't the same as Large party message under Online Booking & Discover. That one is a note guests see on your booking page, for example asking big groups to ring you.
