Every guest with an email address gets a confirmation email as soon as their booking is made — whether they booked online or you took the booking yourself. NomNom fills in the booking details for you; you choose the words around them. You can change the wording every guest gets, and build templates with different wording for particular meals or events — a tasting menu that sets the scene, say, or a Christmas party that needs a pre-order.
You’ll need to be an admin. In NomNom Web, Settings and Configuration open from the account menu in the top-right corner, or from the buttons at the bottom of the left-hand bar.
Change the wording every guest gets
1. Open Email Templates. Open Settings, choose Email Settings, then click Email Templates. In NomNom Web it opens on your Default Confirmation; in the phone app, tap Default Confirmation. This is the email every booking gets unless its meal or event uses one of your own templates.
2. Write your intro and footer. The Intro paragraph appears near the top, above the booking details. The Footer paragraph appears near the bottom, above the cancellation details. Click Insert field to add details such as the guest’s first name (see below).
3. Add buttons, if you like. Under Buttons, a Pre-order link adds a Pre-order your meal button, and a Menu link adds a View menu button. Click Choose a menu to pick one of the menus you’ve uploaded, or paste any web link. Leave a link empty and that button isn’t shown.
4. Preview and save. Click Preview email to see the whole email filled in with a sample booking, then click Save changes. In the phone app, tap Save at the top.
In NomNom Web: Settings → Email Settings → Email Templates. In the phone app: Settings → Email Settings → Email Templates.
Give a meal or event its own confirmation
First, make the template.
1. Add a template. In Email Templates, click the + next to Custom templates (in the phone app, tap + at the top). A new template starts with a copy of your Default Confirmation’s intro and footer, so you only need to change what’s different.
2. Name it and write it. The Template name is just for you — "Tasting menu", for example — and guests never see it. The Subject line is optional: leave it empty to keep the usual "Booking Confirmation" subject with the booking reference. Then write the intro and footer, and add any buttons, just as above.
3. Save it. Click Create template. In the phone app, tap Save.
Then choose it for the meal or event.
4. Open the meal or event. Open Configuration. For a meal, choose Meals, click the meal and stay on its Details tab. For an event, choose Events, click the event and choose Edit Event.
5. Pick the template. Click Confirmation email and choose your template. Standard confirmation means your Default Confirmation. If the template you want isn’t there yet, Manage templates at the bottom of the list takes you to Email Templates.
6. Save. A meal in NomNom Web saves itself — All changes saved shows at the bottom once it has. For an event, click Save changes. In the phone app, tap Save on the meal or event.
In NomNom Web: Configuration → Meals → pick a meal → Details → Confirmation email, or Configuration → Events → click the event → Edit Event → Confirmation email. In the phone app: Configuration → Meals → tap a meal → Details → Confirmation email, or Configuration → Events → tap the event → Edit Event → Confirmation email.
Adding the guest’s details
Insert field drops in a code that NomNom swaps for the real detail when the email is sent:
- [FIRST_NAME] and [LAST_NAME] — the guest’s name
- [DATE] and [TIME] — when they’re booked for
- [GUESTS] — the number of guests
- [DURATION] — how long their table is held, such as 2 hours
- [REF] — the booking reference
- [RESTAURANT] — your restaurant’s name
For example: Hi [FIRST_NAME], we can’t wait to see you on [DATE]. The same codes work in a template’s Subject line too.
Other confirmation settings
These are in Email Settings, on the Confirmation tab unless it says otherwise.
- Add table duration info adds a line such as "Your table is reserved for 2 hours, until 9:30 pm." It’s off until you switch it on, and it’s left out of a booking that finishes after the last booking time of its meal, when nobody is waiting for the table.
- Copy my restaurant on confirmations sends you a copy of every confirmation, to the address under EMAIL SENDER at the top of Email Settings. It’s on to start with; switch it off to stop the copies. Your guests still get theirs.
- Show special requests repeats whatever is in the booking’s Notes back to the guest, under "Special Requests". It’s on to start with. If your team writes its own notes there, switch it off — and put anything a guest must never see in Internal notes on the booking instead. Your own copy loses the section too, and a confirmation you send again yourself from the booking never includes it.
- Show email address, under CONTACT DETAILS above the tabs: every email ends with your phone number and email address. Switch it off to show just the phone number.
In NomNom Web: Settings → Email Settings. In the phone app: Settings → Email Settings.
Good to know
- Bookings go by the meal’s name. If more than one area has a meal with the same name — Dinner in the restaurant and Dinner in the garden, say — a template set on either one is used for all Dinner bookings. If they’re set to different templates, only one of them can be used, so keep them the same.
- An event comes first on its own date. If an event has the same name as one of your regular meals, bookings on the event’s date follow the event’s choice — even if the event is left on Standard confirmation.
- A template replaces all of your Default Confirmation’s wording and buttons. Anything you leave empty in a template is simply left out; it isn’t filled in from the Default Confirmation.
- The rest of the email is still added for you — the booking details, any deposit or card, your cancellation policy, the Change My Booking and Cancel Reservation buttons, and your contact details. The policy and those two buttons are set under Settings → Cancellations & No-shows.
- One edit updates every use. Editing a template changes every confirmation sent with it from then on, though not emails that have already gone. To start a new template from an existing one, choose Duplicate from the three-dot menu beside it. Deleting a template puts its meals and events back on Standard confirmation.
- Custom templates only change the confirmation email, including when it’s sent again after a guest changes their booking online. Your Default Confirmation’s intro and footer, though, also appear in the email a guest gets when their booking is cancelled or you refund a payment, so keep that wording general.
- The picture at the top is the image under Settings → Restaurant Details → RESTAURANT IMAGE, the same one that heads your booking page. If it’s a logo, set Display to Logo under Settings → Online Booking & Discover → HEADER IMAGE so it isn’t cropped. With no image, the email simply has no picture at the top.
- Who it’s from. Guests see the email as coming from your restaurant’s name followed by "via NomNom". If they reply, the reply is forwarded to the address under EMAIL SENDER.
- Your Default Confirmation’s wording is checked for offensive language when you save it. If something is flagged it isn’t saved, and you’ll see a message so you can reword it.
- The Follow-up email, sent after a visit, is in the same Email Templates list. You switch it on and set when it goes out on the Follow-up tab of Email Settings.
- NomNom Web and the phone app share everything. Templates made in one show up in the other.
